I am a new education consultant. I provide services to schools, and educators. Mostly through professional development services (training, workshops, online or on-site) and coaching sessions. I also sell self-paced online courses. 

I am looking to learn from other international consultant on the admin side as I am new to the Netherlands as I collected quite a few questions I am finding hard to find answers to. If you can help, that is wonderful!

 

  1. How to keep a record of expenses? Do they need to be expenses from the same bank account? Can I include business bank account fees in my expenses? Can I include expenses from before opening my business here? I have not been really organized but I am a bit lost on how to do this and how I will then declare these later on. Any tips about this are welcomed!
  2. If I buy something I need for my business, am I supposed to give my VAT number? 
  3. Taxes percentages in the invoice: is it supposed to be 21% (based on this) for my product/services IF I sell in the Netherlands or Europe, right? If I sell outside Europe (e.g. India), I do not charge the VAT, correct?
  4. I applied for KOR and got it but it is applicable only from Jan 2022 so I supposed that my future invoices will mention 'VAT exempted' and I won't charge VAT to any customers. Is that correct? (until I reach the 20,000 Eur annual bracket of course).
  5. Let's imagine I do not have KOR anymore, my Dutch clients who don't have a VAT number need to be charged the 21% VAT and if they have a VAT number, I don’t charge it? (This is something I read somewhere and got really confused about).  If clients are outside Europe, regardless of them having a VAT number or not, I never charge VAT?
  6. I have a Knab account connected to MoneyBird (and connected to my taxes declaration), anyone can help me figure out how the Tax declaration works with Money Bird? Looks like it's all automated but I am unsure if I missed something.

 

Of course, (and ideally), I would love to speak to a real person and do a quick zoom to go over these questions and I would be very happy to report back my findings so other people can benefit.

If you’re not familiar with basic bookkeeping, understanding Dutch VAT with all it’s peculiarities may be a tad overzealous (not to mention income tax). I would have recommended the Handboek Ondernemen, but that’s in Dutch. I kindly suggest finding a bookkeeper. Preferably one with experience in education, as this branch has some special rules/possibilities regarding VAT that may be applicable to some of the activities you have mentioned (CRKBO, in Dutch).

Hi Ron,

 

Yes, thank you. I will consider but I think I mostly need to sit with a book-keeper for a couple of hours and I can then do it myself. I hope I can find someone who would do this as I cannot financially justify having a book-keeper right now.
